Rolling out Microsoft Teams

Using chatbots to experience online workplace communication

The project aim

Clydesdale Yorkshire Banking Group (CYBG) engaged Freeformers to help them roll out Microsoft Teams across back offices. Staff hadn’t previously used a product like Microsoft Teams before, preferring to physically talk to each other as they were all in the same space. But with an upcoming Merger with Virgin Money near completion, CYBG wanted to get ahead of the game with Microsoft Teams.

The design

We used the Digital Champions model, but with a slight twist. As learners were all office staff, they would have access to smartphones and computers and so we were able to use different technologies to make the learning more experiential. After undertaking an on-site training needs analysis and creating learning personas, we focused on three main elements: efficiency, collaboration and communication.

My role

As the lead learning designer, I created the three modules for this project and the resources needed for it. I followed my usual process:

  1. Use the learning. personas to consider what learners need to learn.
  2. Brainstorm ideas with colleagues. I like to do an individual brainstorm and then swap papers to see if that sparks any new ideas.
  3. Whittle down the ideas into the key concepts.
  4. Write the learning outcomes and loose structure.
  5. Flesh out the details and resources.
  6. Test with colleagues.

I like to have regular review points (in this case it was with the Learning Strategist in charge of the project) to make sure I’m on the right track.

Showcase: ColleageBots

For “Communication”, I created the activity ColleagueBots. Participants put themselves in the shoes of a new starter chatting with colleagues. chat with a “colleague” by using a predetermined path with some branching. I created a selection of ColleageBots to demonstrate professional communication, that context is often missing and how easy it is to misread intentions via direct messages.
